Cancellation Policies
CANCELLATION TERMS:
Standard One-Off Appointments (Not Packages):
Ghita Therapy has a 24-hour cancellation policy. Most therapists have 48 hours. We understand that appointments cannot always be kept especially when work, children, illness and life gets in the road.
Please note that if we can slot you into a later appointment on the same day we will allow the credit to be transferred. However, during busy times this may not be possible.
Clients are made aware of our 24 hour cancellation policy during the online booking process and agree to pay a fee for late cancellations or rescheduling when they complete and sign their initial intake form paperwork. In order to provide a high-quality service to all of our clients and to ensure that we can offer appointments to those who need them, we have a cancellation policy in place as follows:
NO SHOWS/ LATE CANCELLATIONS for Employee Assist Program, Surf Club Staff and NDIS Clients:
Please be advised that late cancellations or no shows will be billed to your provider or employer and they will be informed that you did no show up to the appointment that they have paid for.
APPOINTMENT REFUNDS
THE PURPOSE OF THIS POLICY IS TO:
While there may be valid reasons for cancelling or rescheduling appointments, it is difficult to fill a 60-minute appointment on short notice. If several clients cancel, reschedule, or miss appointments in one day, the Counsellor loses a significant amount of income. To put it in perspective, it would be like a salaried employee being told they would only receive half of their salary for that day. Given the overhead costs of running a private practice, it is necessary to charge a fee for late cancellations, rescheduled appointments, and missed appointments. It’s worth noting that cancellation fees are not covered by private health insurance.
If you need to cancel or reschedule your appointment, please provide a minimum of 48 business hours’ notice either through calling, email or sending a text message. Please be aware that while we make an effort to remind you of your appointments through SMS, these reminders should not be relied on solely and it is ultimately your responsibility to remember your appointments. Cancellation fees will be subtracted at the time of cancellation, or invoiced and must be paid within 7 days. Accounts that are not paid within 7 days will be sent to debt collection and will incur an additional 18% + GST fee for debt collection.

- If you need to cancel an appointment booked online you are required to alter your booking on our portal, which you can do with 24 hours plus notice. Ormeau clients or client's who have made a phone booking (SLS Staff, EAP/ NDIS) need to text or phone in their cancellations with 24 hours notice.
- If you just want to change your appointment on the same day to a later time - we will try to accommodate you. However, if your appointment cannot be changed and there is less than 24 hours’ notice, a cancellation fee will apply. This fee is equal to 100% of the scheduled appointment fee.
- NO SHOWS: If you miss your appointment without letting us know, a non-attendance fee will apply. This fee is equal to 100% of the scheduled appointment fee.
- We understand that sometimes unexpected things happen and there may be extenuating circumstances. If this is the case, please let us know and we will do our best to work with you.

- *Please note it may take 7 days for the credit card funds to clear into your account.

- Ensure other clients have the chance to access therapy.

- Decrease the number of cancellations, rescheduling, and missed appointments.

- NOTE: Packages each have their own terms and conditions listed on the page they are advertised on. Important: We do not refund unused hours once a package has begun. By purchasing a package you agree to the terms and conditions. There are no excuses for not having read the T&Cs.
